Why Are Some Users Unable to Access Records or Modules in Zoho CRM?

              Some users cannot access Zoho CRM records or modules because their profile permissions, record-sharing settings or teamspace membership do not provide the required access. A user may have permission to open a module but still be unable to view another employee’s records.
To fix the issue, first identify what is missing: the entire module, specific records or individual fields. Then ask the administrator to review the corresponding access settings. Zoho manages these through several separate controls.             

How to fix Step by Step 

1. Check Profile Permissions When a Module Is Missing


A profile controls which organisation modules a user can access and what actions they can perform, such as viewing, creating, editing or deleting records.

What the administrator should do:

  1. Open Setup > Security Control > Profiles.
  2. Select the profile assigned to the affected user.
  3. Find the relevant module under Module Permissions.
  4. Enable the required viewing permission.
  5. Check editing or other permissions separately, according to the user’s responsibilities.

Example: If an employee cannot access Deals, check whether their profile permits access to that module. Permission to view Contacts does not automatically provide access to Deals.


2. Check Record Ownership and Data Sharing


If the module opens but some records are unavailable, review its data-sharing settings.

Zoho’s organisation modules use private record access by default. Access then depends on ownership, the configured hierarchy and sharing permissions.

Fix: Go to Setup > Security Control > Roles and Sharing > Data Sharing Settings. Review the module’s default access and any relevant sharing rules.

For example, two sales representatives may both access Contacts but see different customer records because each owns different records. An administrator can configure a sharing rule to extend access to the appropriate role or group.


3. Review the User’s Role and Hierarchy


Profiles and roles serve different purposes. Profiles control permitted actions, while roles help determine record visibility within the organisation’s hierarchy.

Users in the same role do not automatically have access to each other’s private records.

Fix: Check the user’s assigned role and the hierarchy under Roles and Sharing. Where appropriate, review Share Data with Peers. This option is unavailable when the organisation uses Reporting Hierarchy.

A manager’s position also does not replace the necessary module permissions. Managers still need the relevant Read or Edit permissions to perform those actions.


4. Check Teamspace and Team Module Membership


In accounts using teamspaces, a missing module may be related to how the teamspace is configured.

Ask the teamspace administrator to confirm that:

  • The user belongs to the correct teamspace.
  • The required module is included in that teamspace.
  • The user has the necessary module access.

For a team module, ask its administrator to review the user’s team module profile. These profiles determine access within that particular module. Organisation-level data-sharing rules do not apply to team modules.


5. Check Sharing Permissions for a Specific Record


If someone needs access to one particular organisation-module record, individual sharing may be suitable.

Where supported, an authorised user can open the record and choose More Actions > Share, then select the recipient and access level. Zoho documents this feature for Enterprise and Ultimate editions.

However, sharing cannot override profile restrictions.

Example: Giving someone Read/Write access to a shared lead will not let them edit it if their profile only permits viewing Leads. Both permission levels must allow the action.


6. Review Field Permissions When Only Details Are Missing


If a user can open a record but cannot see or edit particular details, check field-level permissions.

Fields can be hidden, read-only or editable for different profiles. Ask the administrator to review the affected field’s permissions and adjust them to match the employee’s work requirements.
