1. WhatsApp Is Not Properly Connected to Zoho CRM
If your WhatsApp Business account is not correctly integrated with Zoho CRM, conversations may remain outside the CRM.
When WhatsApp is properly integrated, Zoho CRM can store WhatsApp conversations in the Messages module and associate messages with Leads or Contacts.
What to check
Check:
- Is the correct WhatsApp Business account connected?
- Is the correct business phone number connected?
- Is the integration active?
- Are WhatsApp messages appearing in Zoho CRM's Messages module?
Fix: Recheck the WhatsApp Business integration and confirm that the correct account and phone number are connected.
2. WhatsApp Messages Are Not Being Associated With a Lead
A WhatsApp message can be received without having an existing Lead or Contact in CRM.
If the person's phone number does not match a CRM record, the conversation may not be associated with the expected Lead.
Zoho CRM's WhatsApp integration associates received messages with Leads or Contacts based on the configured setup.
Fix: Make sure the customer's phone number is stored correctly in the Lead or Contact record, including the correct country code where applicable.
3. WhatsApp Lead Ads Are Not Connected to Zoho CRM
If your leads come from WhatsApp Lead Ads, simply receiving WhatsApp messages is not enough.
For WhatsApp Lead Ads, Zoho's LeadChain can connect the WhatsApp Business account to Zoho CRM and send captured lead information into the selected CRM module.
The setup requires:
WhatsApp Lead Ads → LeadChain → Zoho CRM
You also need to select the destination module and map the fields.
Fix: Check whether the WhatsApp Lead Ads connection is active, published, and mapped to the correct Zoho CRM module.
4. WhatsApp Fields Are Not Mapped Correctly
WhatsApp lead data needs to be mapped to the appropriate CRM fields.
For example:
WhatsApp: Phone Number
Zoho CRM: Phone
WhatsApp: Name
Zoho CRM: Last Name / Name
If the fields are incorrectly mapped, lead information may not be captured correctly.
Zoho specifically requires field mapping when connecting WhatsApp Lead Ads with CRM.
Fix: Review the field mapping and make sure the available WhatsApp information is mapped to the correct CRM fields.
5. Phone Calls Are Not Connected Through a Telephony Integration
If your sales team receives calls on a normal mobile phone, those calls do not automatically become Zoho CRM call records.
For automatic call tracking, your phone system needs to be integrated with Zoho CRM through a supported telephony solution.
Zoho's telephony features can automatically log incoming and outgoing calls when the telephony integration is properly configured.
Fix: Connect your business phone system or supported telephony provider with Zoho CRM and verify that call logging is enabled.
6. Unknown Phone Numbers Are Not Being Added as Leads
Suppose a new customer calls your business number.
If that phone number does not already exist in Zoho CRM, Zoho may identify the caller as an unknown number rather than an existing Lead.
With an integrated telephony setup, an unknown caller can be added as a new Lead or Contact from the incoming-call interface.
Fix: Make sure your team creates a Lead or Contact for new callers instead of only answering the call.
7. Phone Number Matching Is Failing
This is a common tracking problem.
For example, your CRM may contain:
+91 98765 43210
while the incoming call or WhatsApp record contains:
9876543210
If the integration cannot match the number correctly, the interaction may not be associated with the existing Lead.
Fix: Standardize phone numbers in your CRM and ensure the integration handles country codes consistently.
8. Call Logging Is Disabled
If calls are being made but no call records are appearing in Zoho CRM, check the call-logging configuration.
Zoho CRM provides a Calls module for recording incoming and outgoing calls, including information such as duration, date, time, and call details.
For some setups, call logging must be explicitly enabled.
Fix: Check the telephony integration and call-logging settings, then make a test call.
9. The Call Is Being Logged but Not Linked to the Lead
There are two separate things:
Call is logged in Zoho CRM
and
Call is associated with the correct Lead
A call can be recorded but remain unassociated if Zoho cannot match the caller's phone number to an existing CRM record.
Some telephony integrations search CRM records using the caller's phone number and link the call when a matching Lead or Contact is found.
Fix: Check the caller's phone number in the Lead/Contact record and make sure it matches the number received by the telephony system.
10. Leads Are Going Into the Wrong CRM Module
Your WhatsApp or telephony integration may be configured to send information to:
- Leads
- Contacts
- Another CRM module
For WhatsApp Lead Ads, the destination module is selected during the LeadChain configuration.
Fix: Check the destination module before assuming that the lead was not captured.
Search the customer's phone number across Leads and Contacts.
11. Assignment Rules Are Sending Leads to Another User
The Lead may actually be entering Zoho CRM but being assigned to another salesperson.
This is particularly common when assignment rules are configured based on:
- Lead Source
- Location
- Campaign
- Product
- Territory
- Owner
Fix: Search for the Lead using the customer's phone number or email instead of checking only one salesperson's Lead view.
12. You Are Tracking Conversations but Not Lead Sources
Even if WhatsApp messages and phone calls are appearing in Zoho CRM, your reporting can still be inaccurate if the Lead Source is not properly recorded.
For example, you may want:
- WhatsApp Ads
- Phone Call
- Google Ads
- Facebook Ads
- Website
If every enquiry is entered simply as Website or Other, you cannot accurately measure which channel generates leads.
Fix: Create consistent Lead Source values and map the source during lead creation or integration.

- Is the Lead Source being recorded correctly?
What Should You Check First?
Do not check everything at once.
Start with a single test enquiry.
For WhatsApp
Send one test WhatsApp enquiry and check:
WhatsApp → Integration → Messages/Lead → CRM record
For WhatsApp Lead Ads, check:
WhatsApp Lead Ad → LeadChain → Field Mapping → Zoho CRM
For Phone
Make one test call and check:
Phone System → Telephony Integration → Calls Module → Lead/Contact
If the call appears in the Calls module but is not linked to a Lead, check phone-number matching.
If the call does not appear at all, check the telephony integration and call logging.
